Registration Issues

Q1. How to register for the conference?

A: Please go to the website ‘Registration Online’ (in the menu/list on the left side), create a new account, then pay your registration fee and accommodation fee, if you also intend to attend the post-conference tour, it costs an additional fee.

Q2. How could I pay for the registration fee?

A:There are two payment methods to choose from. You can choose to make the payment online payment using a credit card. Or, payment can be made using traditional international bank transfer. Bank transfers take longer to get confirmation than do online payments. In order to get an Invitation Letter (for Visa Application) as soon as possible, we recommend you use the Online Payment System. Invitation Letters can only be issued once payment has been confirmed.


Q3. Is the accompanying person allowed to attend all sessions of the conference?

A:No, the accompanying person has no entry to the conference sessions.


Q4.Why can’t I open the registration website?

A:Please try the browser Google Chrome or Internet Explorer 8 (or higher).


Q5. How to confirm my registration?

A:After the conference secretariat receive your registration fee, confirm your accommodation reservation and post-conference tour, if applicable, we will send you a confirmation emailThis confirmation will be followed by an Invitation Letter (you’ll need this in order to apply for a visa) and hotel reservation confirmation. A digital receipt will be sent a little time later due administrative procedures here.


Q6. How can I register a group of people together?

A:Please contact the secretariat and ask to be sent a group registration form to complete. We will also provide information on how to proceed with group registration and payment.



Documents

Q7. How can I get the invitation letter?

A:Once you successfully paid for the registration fee, accommodation fee and post-conference tour (if necessary), then email us your scanned passport and a brief CV (1/2 page maximum). We will then send you an Invitation Letter from the organizing committee (you’ll need this in order to apply for a visa).


Please note: if you have booked your accommodation by yourself (separate to the Registration Process), please let us know where you will be staying – we need to know to help us with logistics and conference organization. You can let us know details of accommodation you have booked yourself by selecting the options in the Registration Online system. Or, please send us an email and tell us where you will be staying.


Q8. How can I get an invoice?

A:Please go to the registration website, Column “Conference Registration”, there is an option for “request an invoice’, then Please provide the Full Name & Organization you need on this invoice. Or send an email to the secretariat directly.


Q9. How can I get the receipt of registration? 

A:Please go to the registration website, under “Conference Registration”, there is an option for “Request a receipt’. Once your payment has been successfully made, we will send you a digital receipt before the conference. But, due to administrative procedures, it won’t come quick as the invitation letter.


You will still get a physical receipt (hardcopy) when you check-in at the conference on October 20th 2015.


Conference Sessions

Q10. When and how should I send to poster to the conference?

A:Confirmation that you will present a poster should be sent to the conference secretariat by August 21. The physical poster should be made by yourself, following the guidelines provided in Conference Poster Instructions. Please bring it to the conference venue directly and pass it to the conference secretariat when you check-in at the conference registration desk on October 20th, 2015 (or the morning of October 21st).


Q11. How long is the Poster Session? What should I prepare for?

A:The Poster session will be on the afternoon of October 22nd. The duration will be 2? hours. Authors of posters are requested to be present during this session and stand by their posters so conference participants can discuss the work portrayed with the author.


Q12. When will the conference program be released? How many presentations will there be and what are they?

A: A ‘Preliminary Program’ is already available on the conference website. We are now receiving confirmations from all participants who submitted a qualified abstracts. The detailed program will be published on the website by early September.


Q13. If I will present my work as Oral Presentation or Poster, when should I send the PPT or Poster?

A: For Posters, please prepare your poster and bring your printed poster with you (ready to display) when you come to the conference. Then, please pass it to the conference secretariat when you check-in at the conference registration desk on October 20th, 2015 (or the morning of October 21st).

For Oral Presentations, please have your PPT with you on a USB memory stick when you check-in at the conference registration desk on October 20th, 2015 (or the morning of October 21st) One of our staff will take a copy of your PPT file. Of couse it would be better if you could send it to us one week earlier before the conference then we could make sure your PPT will work fine on the computer.


Accommodation Issues

Q14. How to pay 1st night accommodation as deposit?

A: There are two options on the online system. One is “pay all accommodation for the duration of the conference” while the other is “Pay 1st night's accommodation as deposit, the balance of the charge for accommodation will then be payable directly to the Crowne Plaza hotel when you check-in.” Please select the check-out date 1 day later than the check-in date then leave an actual check-out date below. For example, if you check –in on October 20, and check-out on October 25th, Please select the check-in date to October 20, and a check-out date to October 21st. Then select October 25th under the 2nd Option.


Q15. How can I pay for the accommodation if I pay my registration fee by bank transfer?

A: Unfortunately, in this situation, we are not able to make reservation for you. Please make a reservation directly with Crowne Plaza Zhanjiang or with another hotel of your choice (of other alternatives, please see the conference website). But, please be sure you let us know where you will be staying – we need to know for logistics and conference organization. You can let us know details of accommodation you have booked yourself by selecting the options in the Registration Online system. Or, please send us an email and tell us where you will be staying.


Q16. What’s the conference room rate of Crowne Plaza Zhanjiang hotel?

A: The room rate we have negotiated and can offer you for the conference at Crowne Plaza Zhanjiang (the conference venue) represents a discount of around 15%-20% compared to other most other booking methods/services. However, this special conference rate is only available through our conference online registration system. And, payment needs to be made online using a credit card.


Transportation

Q17. How can I get to the conference venue from the Zhanjiang Airport?

A: We will have a conference representative at Zhanjiang airport on 19th and 20th October to greet delegates and help arrange their transport to the conference venue and hotels. Zhanjiang’s airport is less than 20 minutes drive from downtown Zhanjiang and the conference venue.


If you arrive in Zhanjiang by other means (e.g. bus, train), we suggest you just get a taxi to the Crowne Plaza hotel – but be sure to have the hotel name (Crowne Plaza Zhanjiang – 湛江皇冠假日酒店) printed in Chinese. Zhanjiang Taxi drivers cannot read or speak English.
